Moving a team, a delegation or a large family is a logistics problem first and a flying problem second. The questions that decide the aircraft are how many seats, how much baggage and equipment, and which airport suits the timing. Here is how we work through them.
Start with the seat count
The number of passengers narrows the choice quickly. These are typical figures for each class; the exact aircraft and its layout are confirmed in your quotation.
| Class | Passengers | Typical reach |
|---|---|---|
| Turboprop | 6–8 | Up to about 2–3 hours |
| Light jet | 4–9 | Up to about 3 hours |
| Midsize jet | 6–9 | Up to about 4–5 hours |
| Heavy jet | 11–14 | Up to about 8–9 hours |
| Ultra long range jet and VIP airliner | 9–19 | 11 hours and more |
Between nine and eleven passengers there is a gap in the middle: a party of ten does not fit a midsize jet and is comfortable in a heavy jet. Ask us to quote both a heavy jet and two smaller aircraft if you are in that range. For the largest classes, see when to step up to a heavy or ultra long range jet.
Equipment and baggage
For a sports team or an expedition party the equipment often matters more than the seats. Tell us what is coming, in as much detail as you can:
- Bags and cases: number, size and weight
- Bulky items such as bats, bikes, golf bags, skis or instruments
- Medical, camera or broadcast kit that needs careful handling
- Anything that is oversized, fragile or restricted
We check the baggage hold and the weight limits against the aircraft, and tell you whether a larger aircraft, or a second one for the equipment, is the better answer.
Airports and ground transport
A private aircraft can land at the airport closest to the hotel or the venue, and the team bus can meet it at the aircraft. That saves the kind of hours that a scheduled terminal adds. We plan the airport, the vehicle and the arrival point together; for Melbourne, see the airports guide, and for Sydney, private jet hire Sydney.
Timing around a match or event
Teams and hospitality groups often want to fly straight after the event. Melbourne Airport has no night curfew; Sydney Airport does, generally from 11 pm to 6 am with limited exceptions. We plan the departure inside the airport’s limits and tell you the alternative if the event runs late. The calendar of big events is in major Australian events by private jet.
When one aircraft is not enough
A larger party can travel on two aircraft. We can stagger them, so that part of the group leaves earlier, or fly them together, so that everyone lands at the same time. Keep key people on the same aircraft if the schedule is tight, and plan the baggage so it follows the people who need it first.
Names, manifests and special requirements
A group flight needs more paperwork than a flight for two. We need the names of everyone on board, and for international flights their passport details, in good time. Tell us about dietary needs, medical requirements and anyone who needs help boarding, and we plan them with the crew and the catering. Name changes close to departure are possible but not always; send us the list early and confirm any changes as soon as you know them.
One point of contact
With a team or a delegation, it works best if one person talks to us and passes on the details to the group. We then have a single set of instructions to work from, and a single person to call on the day if the plan changes.
Groups beyond sport
The same planning applies to delegations, incentive groups and family parties. See weddings and celebrations by private jet and private jet to the Whitsundays for two destinations that suit groups, and corporate and group charter for business parties. Browse the aircraft hire page for the other ways we arrange aircraft.
What to send us
To quote quickly, send the route and dates, the number of travellers, the baggage and equipment list, and whether you need a return flight. We will recommend the aircraft and one clear price.
Frequently asked questions
How large a group can one aircraft carry?
From one to around nineteen passengers, depending on the type; larger parties can use a VIP airliner or travel on more than one aircraft. See the aircraft guide.
Can the aircraft carry team equipment?
Often, yes, within the limits of the aircraft’s baggage hold and weight. Send us the list, with sizes and weights if you have them, early, and we will check what fits and whether a larger aircraft or a second one is needed.
Can we fly straight after the event?
Often, subject to the airports. Melbourne has no night curfew, but Sydney Airport does, so a late departure from Sydney needs to be planned inside it. We tell you what is possible when we quote.
